Secure Your Spot: Reservation Bookings Open for Fall Semester 2025!

Great news for all Ohio University students and staff! Starting Wednesday, March 19, at 9 a.m., you can begin reserving spaces for the Fall Semester of 2025. This is your chance to book venues for events happening between August 11 and December 23, 2025, on the Athens Campus.

You can reserve these popular locations:

  • Baker University Center
  • Walter Rotunda
  • Galbreath Chapel
  • Outdoor spaces

Mark your calendars because reservations for the Spring Semester of 2026 will open on September 17, 2025.

To make a reservation, faculty, staff, and authorized members of student organizations can use the Virtual EMS. However, keep in mind that this system is not available for outside visitors.

If you need access to Virtual EMS, go to the Event Services webpage and request it there. When you do, be sure to select your organization from the list. Only full-time faculty and staff can request space for University departments. Unfortunately, students can no longer do this for departments.

For university departments, if you want to update contact lists, you must create a ticket with the OIT by emailing servicedesk@ohio.edu. This process can take a few days, and remember that only ten full-time staff can be added as contacts.

Student organizations will find that their presidents and one vice president can request spaces starting on Opening Day. Make sure to check that your access is set up before March 19, and verify that your organization’s details are current in BobcatConnect.

Here are a few tips before you request your space:

  • Gather all necessary details—date, time, venue, and number of attendees.
  • Check that your account is active and registered in EMS. Log in to verify this and see the Event Services templates available.
  • If you have questions about your EMS account, reach out to the IT Service Desk.
